Description
The Project Administrator is responsible for overseeing the operational aspects of the research workstream, ensuring efficient processes, accurate documentation, and effective communication across the workstream and stakeholders. This role acts as the central point of contact for project-related tasks and collaborates closely with stakeholders to maintain seamless operations.
Key Scope
Managing Rituals:
- Facilitate and manage the workstream’s rituals, including planning, tracking, and retrospective meetings.
- Coordinate and lead regular status updates and similar meetings.
Research & Strategic Session Coordination:
- Organize and manage logistics for research-led sessions, including scheduling, participant coordination, and resource preparation.
- Prepare, distribute, and oversee session materials, ensuring accessibility and proper presentation during in-person or virtual sessions.
- Record and distribute session notes, capturing key discussions, decisions, and action items for stakeholders.
Documentation and Artifact Management:
- Maintain accurate and up-to-date task trackers, OKRs (Objectives and Key Results), and project documentation.
- Prepare and distribute meeting agendas, presentations, and other project-related materials.
- Facilitate and ensure version control and proper storage of project artifacts and documentation.
Operations and Communication:
- Act as the primary point of contact for the research workstream with the people & culture, operations, and other organizational workstreams.
- Coordinate and facilitate communication, including regular meetings and status updates.
- When there's an org-wide change effected, manage change requests and ensure effective change management processes are followed.
Grant Management:
- Monitor and track grant-related activities, including payments, terms, and timelines.
- Ensure compliance with grant requirements and reporting obligations.
- Collaborate with the finance workstream and external stakeholders for grant-related matters.
Knowledge Management:
- Maintain and update the workstream knowledge base, ensuring accurate and accessible documentation.
- Facilitate knowledge sharing and onboarding of new contributors.
- Identify opportunities for process improvement and implement best practices.
Qualifications
- Proven project management experience, preferably in a research, outsourcing, or software development setting.
- Strong organizational and time management skills.
- Excellent communication and interpersonal abilities.
- Proficiency in task management software and collaboration tools.
- Experience in knowledge base management.
- Ability to multitask and prioritize effectively in a dynamic environment.
- Problem-solving and critical thinking skills.
Nice to haves
- Domain knowledge in the blockchain research area is not required but is expected to be acquired on the job.
- Love for Ethereum/strong interest in Ethereum is a strong plus
- Facilitation experience
